Industrial documentation

Documentation for machinery and equipment that holds up in operation and under inspection

Industrial equipment stays in operation for years and passes through many hands: operators, maintenance staff, service technicians and inspection bodies. Each of them needs to find exactly the information they are looking for and rely on it being correct. We write operating and service manuals that live up to that.

What we do for you

Manuals where technicians find what they need and auditors find what they require

Operating and service manuals as our core discipline

Manuals for operating, maintaining and servicing machinery and equipment are our bread and butter. We describe commissioning, day-to-day operation, scheduled maintenance and troubleshooting so that technicians quickly find their way around the document and don’t have to call support over every little thing. We work from your materials, whether you have specifications, drawings, diagrams, a 3D model or just a prototype in the workshop.

Up-to-date documentation throughout the equipment’s service life

Machinery and equipment often stay in operation for decades, and during that time they undergo modifications, upgrades and control software changes. That is why we version all documentation rigorously: for every equipment configuration you can find the matching version of the manual, you have an overview of the changes made, and you can return to a previous state at any time. Whenever the equipment changes, we update the documentation and align all language versions, so operators and service staff always work with valid information and you have materials ready for conformity assessment and any inspection.

Structured documentation for the AI era

For equipment that is produced in variants and continuously developed, we offer modular documentation based on international technical documentation standards such as S1000D and DITA. We split the content into reusable data modules. You make a change in one place and it is reflected everywhere. You save on updates and translation, and the documentation stays consistent across the entire product line.

Structured content has another advantage: it can be read by technicians and AI alike. Data modules with a clear hierarchy and metadata are ready for search, service assistants and other tools that now process documentation on their own. Structured documentation like this can also power an assistant for service technicians that answers directly from your manuals. We prepare product information for the AI era.

Markdown and docs-as-code

For equipment with firmware, more and more teams want documentation where the rest of the product lives: in Git, versioned just like code. We deliver operating and service manuals in Markdown, ready for your repository and publishing pipeline, so the documentation keeps pace with firmware development.

Ready for the new Machinery Regulation

Regulation applies in107days

Industrial documentation carries responsibility for safety. From 20 January 2027, the new Regulation (EU) 2023/1230 on machinery (Machinery Regulation 2027) applies. It replaces the current directive, updates the requirements for instructions and, for the first time, allows them to be supplied in digital form. We will help you bring your documentation in line with the new rules and prepare digital instructions that meet all requirements.

We check mandatory safety instructions, warning symbols, CE documentation and the structure of the technical documentation (Technical File) expected by the inspection authority. It will hold up with technicians and in audits.

We understand the machines we describe

We don’t just write generic phrases – we understand what we describe. Our team includes people with a technical background who understand how equipment works and can tell when something in the source material doesn’t add up. For more than 33 years we have been working on documentation for consumer electronics, measuring instruments and heavy industrial equipment, so we quickly find our way around your field.

Localization

Documentation in the language of every market you deliver to

A machine’s instructions must be in the official language of the country where the equipment is put into service. Our TechWord Lingua division will go through your target markets and documentation types with you and propose how to maintain the language versions throughout the machine’s life. With modular documentation, only the change is translated when a module is updated, and terminology stays consistent across all languages and the entire product range.

How we work together

  1. Consultation on the equipment, source materials and requirements of standards
  2. Documentation structure proposal and a fixed-price quote
  3. Writing chapters in stages, with feedback from your technicians along the way
  4. Translation, typesetting or export into your publishing pipeline
  5. Post-production updates

What you get

  • Operating and service manual in a format that fits your workflow (PDF, DITA, Markdown)
  • Documentation for the Technical File and CE marking
  • Reusable modules for further variants and versions
